Privacy Policy

This policy explains the handling of personal information in SMP Scheduling, with additional detail about optional Google Calendar connections.

Who operates SMP

Shawn May Photography operates SMP Scheduling at https://smimages.com. SMP supports property-photography bookings, photographer assignments, scheduling, administrative operations, customer communications, and media delivery. Questions and privacy requests may be sent to smay120@gmail.com.

Information you provide and records we create

Depending on your relationship with SMP, we process your name, company, email address, telephone number, account and profile information, booking addresses and instructions, assigned photographer, requested services, appointment dates and times, customer messages, media delivery links and files, and support or operational records. We also process technical and account-security information necessary to operate, troubleshoot, and protect the service. SMP administrators may maintain internal assignment, missing-media, and service-quality records.

Connecting a Google Calendar

Google Calendar connection is optional. A photographer explicitly chooses to authorize SMP through Google’s OAuth consent screen. SMP requests the calendar permissions disclosed on that screen to read calendar information and create, change, or delete calendar events. SMP does not obtain your Google Account password. You may decline authorization; Google Calendar synchronization will then be unavailable.

Exactly what Google Calendar data SMP accesses

When a connected photographer uses SMP, the application can request calendar identifiers and information about calendar events, such as their start and end times, availability or busy status, event identifiers and other event details returned by the authorized Google Calendar API. Calendar access is needed to check conflicts and synchronize SMP appointments. SMP may read information about non-SMP events as necessary for availability checks; this does not mean those events are SMP bookings.

How SMP uses Google Calendar data

SMP uses Google Calendar information to check whether a photographer is available before an appointment is assigned, show relevant calendar availability to authorized scheduling personnel, create SMP-related appointment events, and update or remove those SMP-created events after scheduling changes or cancellations. SMP also uses connection and API error details to troubleshoot synchronization and maintain secure service operation. SMP does not use Google Calendar information for advertising or sell it. Calendar data is not used to train general-purpose artificial intelligence or machine-learning models.

What SMP stores from Google

To keep the connection functioning, SMP stores OAuth tokens (including refresh tokens when granted), the connected Google account or calendar identifier, permission and connection status, and synchronization-related technical metadata on the application server. SMP also retains its own booking details and event references for appointments it manages. Calendar event information may be retrieved temporarily to evaluate availability; SMP is not intended to maintain a complete archive of all events on a user’s Google Calendar. Server-side calendar credentials are not displayed to customers in the ordinary booking interface.

Who can see calendar and booking information

Authorized SMP scheduling personnel may view the availability and appointment details needed to plan or manage shoots. Photographers may access the scheduling information relevant to their own appointments. Customers and property contacts receive relevant information about their bookings, not unrestricted access to a photographer’s Google Calendar. SMP does not make a connected photographer’s entire Google Calendar publicly searchable or expose their OAuth credentials to other customers.

Sharing and service providers

SMP processes information using hosting and infrastructure providers and, where applicable to a transaction, communications, scheduling, media-delivery, and billing service providers. Information is made available to those providers only as reasonably required to deliver their respective services. Booking information may be shared with the assigned photographer, involved customer, and authorized SMP staff. Google Calendar data is not sold, shared with advertising networks, or provided to unrelated third parties for their own marketing. We may disclose information if required by applicable law or for security and fraud prevention.

Google API Limited Use

SMP’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We use Google user data to deliver or improve user-facing scheduling features requested or authorized by the user, for applicable security purposes, or where legally required. We do not allow humans to read Google user data except when necessary for a user-authorized service, to investigate a security issue, to comply with law, or where the data has been aggregated and anonymized for internal operations.

Retention

SMP retains OAuth connection records while needed to maintain an authorized integration, subject to disconnection, revocation, security requirements, and deletion requests. SMP-generated booking, event-reference, audit, and business records may remain after a calendar is disconnected where needed for scheduling history, customer support, accounting, disputes, or legal obligations. Different records have different retention periods; we do not represent that every record is deleted immediately when authorization is revoked. Any event already written to Google Calendar is separately held by Google and may remain there after disconnection.

Your choices, revocation, and deletion requests

You may revoke SMP’s Google authorization at any time using the Google Account third-party connections page (Google Account connections). You may also contact smay120@gmail.com to request disconnection, deletion of stored Google OAuth credentials, access to or correction of personal data, or deletion of information SMP holds about you. Please include sufficient detail to identify the relevant account; do not send passwords or tokens. We will evaluate the request and explain any records that must be retained for operational or legal reasons. Revoking Google access stops new authorized Calendar API access after revocation is applied; it does not undo past SMP bookings or automatically remove events already present in Google Calendar.

Security

SMP uses account-based permissions and server-side handling of authorization credentials to limit access. We aim to restrict sensitive scheduling data to personnel and systems that need it. Internet services and stored information cannot be guaranteed completely secure; users should contact us if they suspect an unauthorized connection or data access.

Updates and contact

We may revise this policy as SMP functionality and legal requirements change. The current version will be posted on this page with its effective date. Before materially changing how Google user data is used, we will provide appropriate notices and obtain any required consent. Contact: Shawn May Photography, smay120@gmail.com.
